Save time with reusable line items
Do you charge the same call-out fee on every job? Do you have standard day rates for labour? Save your most common services and materials as reusable items — then add them to any invoice with a single click. No retyping, no inconsistencies.
- Save any service or product as a reusable item
- Set a default price, unit, and description
- Add saved items to new invoices with one click

Professional presentation that gets you paid faster
Research shows that professional-looking invoices get paid faster than plain text or handwritten ones. When your invoice clearly shows your branding, the work completed, the amount due, and a pay-now button, customers are more likely to pay promptly — and less likely to query the bill.
- Clean, readable layout — easy for customers to understand
- Itemised breakdown of all work and materials
- Total due displayed prominently
- Your payment bank details or Stripe pay button included
- PDF format for easy filing by your customer
Quote templates — convert to invoice instantly
Start with a quote template, send it to the customer for approval, then convert it to a final invoice with a single click. All line items, descriptions, and pricing carry over automatically — no need to enter the same information twice.
- Quote and invoice templates share the same library
- Convert an accepted quote to an invoice in one click
- Quote reference number carries through to the invoice
- Keeps your quote and invoice records linked together
Frequently asked questions
Can I have more than one invoice template?
InvoiceAdept currently supports one brand template per business — your logo, colours, and business details. All invoices use this consistent branding. You can customise every individual invoice's line items, terms, and notes.
What file formats are supported for logos?
You can upload your logo as a PNG or JPG file. For the best results on invoices and PDFs, we recommend a PNG with a transparent or white background, at least 400px wide.
Can my customer download the invoice as a PDF?
Yes. Every invoice generated by InvoiceAdept can be downloaded as a professional PDF. Customers receive a PDF attachment in their invoice email, and can also download it from the payment link page.
Can I add terms and conditions or custom notes to my invoices?
Yes. You can add a default payment terms note and custom footer text that appears on every invoice. You can also add job-specific notes to individual invoices — useful for referencing a job number, purchase order, or specific instructions.
